Overview
ToolEquip's maintenance scheduling system lets you create recurring maintenance tasks for any tool or piece of equipment. Tasks can be triggered by calendar intervals (every 30 days) or usage metrics (every 200 hours). When a task is due, assigned technicians receive automatic notifications with detailed instructions.
Creating a Maintenance Schedule
To set up a maintenance schedule:
- Navigate to Maintenance > Schedules > Add Schedule
- Select the tool or equipment
- Choose the trigger type:
- Time-based — Every X days, weeks, or months
- Usage-based — Every X hours of use, miles driven, or cycles completed
- Combination — Whichever comes first
- Define the specific tasks to be performed
- Assign a technician or team
- Set notification preferences (reminders, escalation, etc.)
- Click Save
Managing Maintenance Tasks
From the Maintenance dashboard, you can:
- View all upcoming and overdue tasks in a calendar view
- See task details including instructions, parts needed, and assigned technician
- Mark tasks as complete with completion notes and signatures
- Reschedule tasks if needed
- View maintenance history for any tool
Maintenance Templates
Save time by creating maintenance templates for common task types. Templates include predefined task lists, required parts, and instructions. Apply a template to any compatible tool to create a complete maintenance schedule in seconds.
Parts and Supplies Tracking
Link required parts and supplies to maintenance tasks. When a task is created, the system checks inventory levels for required parts and alerts you if stock is low. This ensures technicians have everything they need before starting work.
Compliance and Documentation
Every maintenance action is documented for compliance. Records include:
- Who performed the maintenance
- What was done (with detailed notes)
- When it was completed
- Parts used (with lot numbers if applicable)
- Test results and measurements
- Digital signatures or approvals
Reporting
Generate maintenance reports for any date range. Reports cover:
- Schedule compliance percentage
- Tasks completed vs overdue
- Maintenance cost per tool
- Technician performance metrics
- Parts usage and inventory trends
