Check In / Check Out
The check-in/check-out system tracks every tool movement. You'll always know who has what, when it was taken, and when it's due back.
How It Works
Checking a tool out is a two-step process: scan the tool's QR code and confirm the checkout. The system records who took the tool, when, and the expected return date. When the tool comes back, scan it again to check it in. The complete history is preserved for audit purposes.
Checking Out a Tool
To check out a tool:
- Open ToolEquip on your smartphone or web browser
- Scan the tool's QR code, or search for the tool in the list
- Click Check Out
- Select the user who is taking the tool (defaults to you)
- Set the expected return date and time
- Add any notes (optional — e.g., "Taking to job site 42")
- Confirm the checkout
The tool's status changes to "In Use" and appears on the user's active checkout list.
Checking In a Tool
To check in a tool:
- Scan the tool's QR code
- Click Check In
- Verify the condition (select Good, Needs Repair, or Damaged)
- Confirm the location where the tool is being returned
- Add any notes (optional — e.g., "Blade needs sharpening")
- Confirm the check-in
The tool's status returns to "Available" and the checkout record is closed.
Overdue Tools
Tools not returned by their expected date are flagged as overdue. The system sends automatic reminders:
- Due date reminder — Sent to the user the day before the tool is due
- Overdue notification — Sent to the user when a tool becomes overdue
- Escalation — Sent to managers if a tool is overdue by more than 3 days
Checkout Rules and Policies
Admins can configure checkout rules:
- Maximum checkout duration — Limit how long a tool can be checked out
- Maximum tools per user — Limit how many tools one person can have at a time
- Restricted tools — Require manager approval for certain high-value tools
- Require condition check — Make condition reporting mandatory on check-in
Audit Trail
Every check-in and check-out is recorded in the permanent audit log. Each record includes:
- Tool name and ID
- User who performed the action
- Timestamp of the action
- Location at time of checkout or check-in
- Condition notes (if provided)
- Duration of checkout
