Calibration
Ensure your precision tools stay accurate and compliant with ToolEquip's calibration tracking system.
Why Calibration Tracking Matters
For industries like healthcare, manufacturing, and laboratories, calibration isn't optional — it's a regulatory requirement. Tools that measure, test, or monitor must be calibrated to known standards at regular intervals. Out-of-calibration tools can produce inaccurate results, leading to quality issues, safety incidents, or regulatory fines.
Setting Up Calibration Tracking
To track calibration for a tool:
- Navigate to the tool's detail page
- Click the Calibration tab
- Enable Calibration Tracking
- Set the calibration interval (days, months, or usage-based)
- Enter the last calibration date and due date
- Upload calibration certificates (PDF or image)
- Select the calibration standard (ISO 17025, NIST, manufacturer spec, etc.)
- Click Save
Calibration Statuses
Each calibrated tool has a status:
- In Calibration — Currently being calibrated by a service provider
- Calibrated — Passed calibration and within the valid period
- Due Soon — Calibration due within the configured warning period
- Overdue — Calibration has expired. Tool should not be used.
- Failed — Tool failed calibration and needs repair or replacement
Calibration Alerts
The system sends automatic alerts for calibration events:
- Upcoming due reminder — Sent 30, 14, and 7 days before calibration is due
- Overdue notification — Sent immediately when calibration expires
- Escalation — Sent to managers and compliance officers if overdue by more than 7 days
Certificate Management
Store calibration certificates directly in ToolEquip for easy access during audits. Supported features:
- Upload PDF certificates for each calibration event
- View certificate history for any tool
- Download certificates for external reporting
- Set certificate expiry dates and receive renewal reminders
Calibration Reports
Generate compliance-ready calibration reports:
- Tools approaching calibration due date
- Tools with expired calibration
- Calibration history for specific tools or categories
- Calibration success/failure rates by technician or provider
- Custom date range reports for audits
Best Practices
- Set realistic calibration intervals based on manufacturer recommendations and usage intensity
- Use the "Due Soon" warning to schedule calibration before expiration, avoiding rushed service
- Upload certificates immediately after calibration — don't let them pile up
- Flag calibrated tools in your check-in/check-out workflow so users know they're verified
- Review calibration failure trends to identify tools that may need replacement
